Artist EPK Privacy Policy

1.Information We Collect

We may collect information you provide directly to us, including:

Account information such as your name, email address, login details and account settings.

Artist and professional information such as artist names, biographies, contact details, websites, social links, release information, credits, press information, performance information and other information you choose to include in an EPK.

Uploaded content such as photographs, artwork, audio files, stage plots and other media.

Support communications, including messages you send to support@artistepk.com.

Billing information associated with your subscription, such as your Stripe customer identifier, subscription plan, billing status, invoices and payment status.

We do not ordinarily receive or store your complete payment-card number. Card and payment details are processed by Stripe.

We may also automatically collect technical information such as IP address, device and browser information, authentication/session data, security logs, error information, timestamps and information about how the Service is used.

2.Information You Publish

Artist EPK allows you to publish EPKs to the internet.

Information included in a published EPK is intended to be public.

Depending on what you choose to publish, this may include your artist name, biography, photographs, music, videos, release information, press material, contact information, social links and other content.

You are responsible for deciding what information you make public.

Published information may be viewed, shared, indexed, cached or saved by other people or services outside Artist EPK.

3.How We Use Personal Information

We may use personal information to:

• create and manage accounts;
• provide, host and publish EPKs;
• store and deliver uploaded media;
• apply plan features and usage limits;
• process and administer subscriptions;
• authenticate users and protect account security;
• provide customer support;
• send transactional and service communications;
• diagnose errors and maintain the Service;
• prevent fraud, abuse and unauthorised access;
• comply with legal obligations;
• enforce our Terms of Service; and
• improve the functionality, reliability and user experience of Artist EPK.

We do not sell personal information to advertisers.

4.Payments

Artist EPK uses Stripe to process paid subscriptions.

When you purchase a subscription, payment information is provided to and processed by Stripe.

Artist EPK receives information necessary to administer your subscription, such as customer and subscription identifiers, plan information, invoice status, payment status and billing dates.

We do not intentionally store full card numbers or card security codes.

Stripe handles personal information in accordance with its own privacy policy and legal obligations.

5.Service Providers

We use third-party service providers to operate Artist EPK.

These providers may assist with services such as hosting and infrastructure, database storage, authentication, payment processing, email delivery, security, error monitoring and technical operations.

We disclose personal information to service providers only where reasonably necessary for them to provide services to us or where otherwise permitted or required by law.

Service providers may process information on infrastructure located outside Australia.

6.Overseas Processing And Disclosure

Some of the service providers used by Artist EPK may store or process personal information outside Australia.

This may include the United States and other countries in which our technology and payment service providers operate.

Where Australian privacy law applies to an overseas disclosure, we take reasonable steps required by applicable law in relation to the handling of that information.

Because cloud infrastructure and provider locations can change, you may contact support@artistepk.com if you would like current information about relevant overseas processing locations.

7.Cookies And Local Storage

Artist EPK uses cookies, browser storage or similar technologies where necessary to operate the Service.

These technologies may be used for authentication, account security, session management and user preferences.

If we introduce non-essential advertising, marketing or analytics technologies that require additional notice or consent, we will update our practices and disclosures as appropriate.

7A.Product Analytics

To run and bill the Service, we keep necessary operational records, such as when a checkout is started with our payment provider or a subscription becomes active. These records are part of providing the Service and are not optional.

Separately, and only if you opt in while signed in, we record a small number of optional product events linked to your account — for example showing interest in a paid plan, copying your EPK link or attempting to publish — to help us understand what to improve. This is off by default, you can turn it on or off at any time in Account settings, and your choice never affects how the Service works.

Optional product events are stored for up to 13 months and then deleted. These events are not anonymous while stored, because they are linked to your account. If we ever keep longer-term anonymised totals, we will only do so after a privacy review confirms they cannot identify you.

This feature does not add any third-party analytics service, advertising tracker or cross-site tracking, and we do not track anonymous visitors to public EPK pages under this feature. To ask about your data or exercise your privacy rights, contact support@artistepk.com.

8.Communications

We may send emails that are necessary to operate your account or subscription, including authentication, password-reset, billing, security and important service messages.

Where we send marketing communications, we will provide an appropriate way to unsubscribe where required by law.

You may still receive essential account, security and transactional messages after unsubscribing from marketing communications.

9.Security

We use technical and organisational measures designed to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure.

These measures may include authentication controls, access restrictions, private storage, server-side authorisation and encryption used by our infrastructure providers.

No online service can guarantee absolute security.

You should use a strong, unique password and keep your login credentials confidential.

If you believe your Artist EPK account or personal information has been compromised, contact support@artistepk.com promptly.

10.Data Breaches

If we become aware of a data breach involving personal information, we will investigate and take reasonable steps to contain and address it.

Where applicable law requires notification to affected individuals or a regulator, we will make those notifications.

11.Retention

We retain personal information for as long as reasonably necessary to provide the Service, administer accounts and subscriptions, meet legal or accounting requirements, resolve disputes, enforce agreements and maintain security.

When information is no longer reasonably required, we may delete or de-identify it, subject to legal obligations and reasonable backup and technical retention periods.

Deleting an account or particular content may not immediately remove every copy from encrypted backups or system logs.

12.Access And Correction

You may update certain account and EPK information directly through Artist EPK.

You may also contact support@artistepk.com to request access to or correction of personal information we hold about you.

We may need to verify your identity before responding.

Where applicable law gives you additional rights in relation to your personal information, we will respond in accordance with those requirements.

13.Deletion Requests

You may request deletion of your Artist EPK account or personal information by contacting support@artistepk.com.

We may retain information where required or permitted by law, including records necessary for taxation, accounting, fraud prevention, dispute resolution or legal compliance.

Information you previously published publicly may continue to exist in third-party caches, archives, search results or copies outside our control even after it is removed from Artist EPK.

14.Children And Young People

Artist EPK is designed primarily for musicians and music professionals.

If you are under 18, you should use Artist EPK with the permission and involvement of a parent or legal guardian.

We do not knowingly seek to collect personal information from children for purposes unrelated to providing the Service.

If you believe a child has provided personal information without appropriate permission, contact support@artistepk.com.

15.Your Creative Content

Uploading music, images, artwork or other creative material does not transfer ownership of that material to Artist EPK.

Our rights to process and display uploaded material are limited as described in our Terms of Service.

You are responsible for ensuring you have permission to upload personal information or content relating to other people.

16.Legal Disclosures

We may use or disclose information where reasonably necessary to comply with applicable law, court orders or lawful government requests; protect the rights, safety and security of Artist EPK, our users or others; investigate fraud or abuse; or establish, exercise or defend legal claims.

17.Business Changes

If Artist EPK or the business operating it is involved in a merger, acquisition, restructuring or sale, information may be transferred as part of that transaction.

Where required, we will take reasonable steps to ensure personal information continues to be protected and users are appropriately informed.

19.Changes To This Policy

We may update this Privacy Policy from time to time to reflect changes to Artist EPK, our service providers, legal requirements or privacy practices.

If changes are material, we will provide notice where reasonably appropriate or legally required.

The current Privacy Policy will be published on artistepk.com.
